Job Description: Facility & Box Office Manager

Reports to the Vice President of Front of House

 

The Facility & Box Office Manager is an important member of the theatre team, overseeing the Box Office and the facility. They are often the first face of the theater to the public and to vendors. The Facility & Box Office Manager is expected to be an ambassador when representing the Morgan-Wixson to members, patrons, volunteers, outside guests and artist participants. 

The Santa Monica Theatre Guild and Morgan-Wixson Theatre is a volunteer organization that relies on the time and talents given by the community. We appreciate the efforts expected from the Facility & Box Office Manager, and we want that same appreciation shown to the members, patrons, volunteers and many artists that enter our doors.

What follows is a basic list of expectations and job description for the position.

List of Expectations

  • The Facility & Box Office Manager represents the Morgan-Wixson, when working with members, patrons, volunteers, outside guests and artist participants, and should be the ambassador and cheerleader for the theatre.

  • The Facility & Box Office Manager is expected to be courteous and respectful to all ticket buyers, volunteers, and members, providing a positive experience for all whom they come in contact with.

  • The Facility & Box Office Manager is expected to make collaboration, cooperation and partnership primary principals in their day-to-day dealings with members, patrons, volunteers, outside guests and artist participants..

  • Everyone works better with clear communication and understanding. The Facility & Box Office Manager should be clear with policies, purchases, office tasks, and details whenever working with the public, members, the Board, volunteers or artist participants.

Description

  • Open and digitally distribute mail.

  • Enter shows and showtimes into the ticketing software to set up for new productions.

  • Sell tickets in person and by phone.

  • Keep track of membership payments and enrollments, and update the Treasurer, Bookkeeper and Vice President/Membership and Volunteers each month.

  • Oversee the membership point system and work with Vice President/Membership and Volunteers on the program.

  • Keep track of donations and notify Treasurer, Bookkeeper and Vice President of Fundraising and Grants, whenever a donation is made.

  • Work with Treasurer and Bookkeeper on financial matters, including cash, checks, and other items.

  • Inventory all maintenance and paper products for the maintaining of the facility, and purchase new supplies when necessary.

  • Inventory all concession items, and purchase new supplies when necessary.

  • Inventory all office supplies, and purchase new supplies when necessary.

  • After approvals from VP of Front of House and/or the Executive Committee, book and manage vendors for facility repairs and maintenance.

  • Keep lobby, concessions, box office and restrooms looking presentable and stocked.

 

Other Important Information

  • This position works every week, Wednesday, Thursday and Friday from 1pm - 6pm

  • This position also works for 2 hours during each performance. That means that some weeks, they would work Friday evenings from 7:15 - 9:15, Saturday day from 10am-12pm and Saturday evenings from 7:15 - 9:15, and Sundays from 10am - 12pm and 1:15pm -  3:15pm. It depends on our show schedule.

  • Pay is $20 per hour and is paid every two weeks.

  • Must have experience with Excel and the Google Suite of products. Prefer to have someone with ticketing software experience. Will train.
